Secure Client Data: Why SMBs Need Added Protection for Microsoft 365

By Ona Blanchette

According to a 2019 Gartner study, 70% of organisations will have suffered a business disruption due to unrecoverable data loss in a SaaS application by the year 2022.

The study also found that 47% of data loss is caused by end user deletions, making human error a top cause of data loss. So, if you're hacked or your data is intentionally (or unintentionally) deleted, would you be able to recover it?

Many companies unfortunately still believe cloud-based SaaS applications, such as Microsoft 365, are not as vulnerable to data loss as on-premise apps and there is the additional belief that the vendors they use are liable for any end user data loss. The reality is that when it comes to Microsoft-based data, they are responsible for their cloud, end users, and their MSP is responsible for what’s in it.

Why Microsoft Isn’t Enough

As you can see in the chart below, Microsoft has a limited data retention policy. There are particular settings with Microsoft that can be put in place to retrieve files beyond a certain number of days, but this number varies.

Even with the correct settings, the retention and recovery of older or deleted files, even particular revisions of files (a common request among Sharepoint users) can be a challenge, not to mention time consuming, when relying on Microsoft alone.

So, how does an MSP ensure that clients’ data is backed up, secure, and most importantly, quickly retrievable? We spoke to one to get their perspective.

Shared Responsibility for Data Security: An MSP’s Perspective

“Knowing that our clients had their business data in Microsoft 365, we felt it was important to be backing it up” - Spencer Anderson, Director of Operations at Loffler

In a recent conversation with Spencer Anderson, Director of Operations at Loffler Companies, and MSP based in Minneapolis, MN about backing up Microsoft 365 data for his clients, Anderson discussed how Datto SaaS Protection helps to ensure that his team can access, control, and most importantly, protect the data Loffler’s clients entrust to Microsoft 365. Anderson affirmed, “Just as we don't provide clients an option of antivirus to protect them from malicious viruses, clients using Microsoft 365 are set up with Datto SaaS Protection to protect them against data loss.' This trend of incorporating additional SaaS backup, now being embraced by most MSPs for clients using Microsoft 365, continues to grow.

As for Loffler, Saas Protection is no longer an option for their clients when they are selling Microsoft 365 licenses. When asked about the client's reactions to this, his answer was clear. “It's usually understood among our clients that backing up Microsoft 365 data is important, especially when we share Microsoft’s documentation. They explicitly state that data should be backed up with a third-party vendor”.
